Cancellation Policy

At Optimus KNF, we understand that circumstances may arise where an adopter may need to cancel an adoption request. This Cancellation Policy outlines the conditions, procedures, and limitations for canceling adoptions through our website to ensure clarity for adopters and protect the welfare of the pets.

1. General Policy

  1. Adoption cancellations can only be placed through the “Orders” page on the adopter’s account.
  2. To cancel, the adopter must click on the specific adoption request and select the “Cancel Order” option.
  3. All cancellation requests are subject to approval by the Optimus KNF management to ensure pet welfare and process integrity.

2. Eligibility for Cancellation

Cancellations are only allowed if the order has not been processed or is in transit. Specifically:

  1. If the adoption request is pending or under review, it can be canceled.
  2. If the adoption has been processed, prepared for home placement, or in transit, cancellations cannot be made.
  3. Requests to cancel after the pet has been handed over are strictly not permitted.
This ensures that the adoption process is smooth and pets are not left in uncertain conditions.

3. Cancellation Procedure

To cancel an adoption:

  1. Go to the “Orders” page in your account.
  2. Locate the adoption request you wish to cancel.
  3. Click “Cancel Order” and provide a reason for cancellation.
  4. Optimus KNF will review the request and confirm the cancellation within 3 business days.
Note: Cancellation requests made outside the allowed stages (after processing or in transit) will not be accepted.

4. Refunds on Cancellation

  1. Refunds are considered only for approved cancellations where payment has been made.
  2. Refund amounts are subject to deductions for:
  3. Administrative fees
  4. Veterinary care or preparation costs for the pet
  5. Refunds will be processed via the original payment method within 7–14 business days.
Partial refunds may apply depending on the stage of the adoption and costs already incurred.

5. Non-Cancellable Situations

Cancellations cannot be placed:

  1. After the adoption has been processed or approved.
  2. When the adoption request is in transit to the adopter.
  3. Once the pet has been handed over to the adopter.
  4. Requests submitted outside the Orders page will not be considered.
These measures ensure pets are cared for and prevent disruption to the adoption workflow.

6. Limitation of Liability

  1. Optimus KNF is not responsible for any losses resulting from rejected cancellation requests.
  2. Decisions on cancellation are final, and refunds, if any, will be handled according to this policy.
  3. The adoption center reserves the right to deny cancellation requests that compromise pet welfare or violate policy rules.

7. Policy Updates

  1. Optimus KNF reserves the right to modify this Cancellation Policy at any time.
  2. Updates will be posted on the website, and adopters are responsible for reviewing the current policy.
