At Optimus KNF, our mission is to ensure that every adoption is safe, responsible, and successful. We understand that circumstances can change, and sometimes refunds or cancellations may be requested. This Refund Policy outlines the conditions, procedures, and limitations regarding refunds for services or adoption-related payments on our platform.

1. General Policy

  1. All adoption fees, donations, and service payments made through Optimus KNF are non-refundable unless explicitly stated otherwise in this policy.
  2. Payment made for adoption applications, registration, or deposits does not guarantee adoption approval. Every adoption request undergoes review to ensure the pet’s welfare and the adopter’s suitability.
  3. Refund requests will be evaluated on a case-by-case basis, and only valid requests that meet the conditions outlined in this policy will be considered.

2. Refund Eligibility

Refunds may be considered under the following circumstances:

  1. Duplicate Payments: If a payment is mistakenly made more than once for the same service or adoption request.
  2. Payment Errors: If payment is processed due to technical errors on the website or payment gateway.
  3. Service Not Rendered: If a paid service (e.g., scheduling a virtual consultation, adoption consultation, or delivery service) is not provided by Optimus KNF within a reasonable timeframe.
Refunds will not be provided if:
  1. The adoption process is delayed due to the adopter’s unavailability or incomplete documentation.
  2. A pet is deemed unsuitable for adoption after assessment by the adoption center.
  3. Payments are made for non-refundable services such as administrative fees, registration fees, or processing fees.

3. Refund Request Procedure

To request a refund, adopters must:

  2. Include the following details in the refund request:
  3. Full name of the adopter
  4. Transaction reference number
  5. Date and amount of payment
  6. Reason for requesting a refund
  7. Supporting documentation (if applicable)
  8. The request will be reviewed by our finance team, who may contact the adopter for additional information.
Refunds will only be processed to the original payment method unless otherwise agreed upon.

4. Refund Processing Time

  1. Once a refund request is approved, it may take 7–14 business days for the funds to appear in your account, depending on your bank or payment provider.
  2. Optimus KNF is not responsible for delays caused by banks, payment processors, or technical issues outside of our control.

5. Special Considerations

  1. In rare circumstances, such as the pet being medically unfit for adoption after the adoption fee is paid, Optimus KNF may provide either:
  2. A full refund, or
  3. An option to select another suitable pet without paying additional adoption fees.
  4. All refunds are subject to verification and approval by the Optimus KNF management team.

6. Limitation of Liability

  1. Refunds are limited strictly to payments made for services provided through Optimus KNF.
  2. Optimus KNF is not liable for:
  3. Any indirect or consequential losses related to adoption fees or service payments.
  4. Any third-party costs incurred during the adoption process, including transportation, veterinary care, or permits.

7. Changes to the Refund Policy

  1. Optimus KNF reserves the right to update or amend this Refund Policy at any time.
  2. All changes will be communicated via the website or email notifications to registered adopters.
  3. Continued use of the website or services after policy changes constitutes acceptance of the updated policy.
